Our fast paced client-focused Accounting/ Tax practice needs a reliable, well-organized Office Manager/ Receptionist to handle day-to-day operations with a focus on efficiency and time management.
The office manager/ receptionist is the face of our firm so it is important to be well spoken with strong grammar skills. This position is the director of first impressions and manages most client contact during tax season.
The Office Manager will be responsible for developing clients and with in our office communication protocols, streamlining administrative procedures, office staff supervision and task delegation. We're looking for an energetic professional who doesn't mind wearing multiple hats. This position will include advancement opportunities for the right candidate.
The ideal candidate will possess a strong work ethic, an ability to accomplish tasks independently, have strong organizational and communication skills, and the ability to work well with our team and clients.

Reception responsibilities will include: • Answering the phone • Scheduling and confirming client appointments` • Scanning client documents • Printing and assembling tax returns • Delivery of completed tax returns • Filing and keeping files organized and clean • Loading files to our web site • Data entry into Quick Books • Accounts Payable/Receivable • Preparation of various reports
Office Management responsibilities: Responsible for the organization and coordination of office operations, procedures and resources to facilitate organizational effectiveness and efficiency. • Competitive spirit with a strong desire to succeed, exceeds goals, and maximizes opportunities. • Coordinate the flow of client files through office. • Develop organizational procedures and systems for office personnel, including filing, billing, accounts payable, payroll and scheduling • Improve employee and client retention rates through active communication and problem-solving efforts • Manage the social media channels of the company • Comfortable with fast-paced environment • Experience with scheduling, budgeting and payroll • Continue education in management, organization and team-building skills • Manage employee schedules and troubleshoot scheduling conflicts as they arise • Order supplies and equipment as needed • Establish team atmosphere through leadership and employee development
Required Skill set • Experience with Quick Books (min of 2 yrs) • Advanced skills in MS Office, Word, Excel • Typing speed minimum 30 words per minute • Strong attention to detail is a must • Excellent organizational skills • Time management skills • Good computing skills • Capacity to prioritize and delegate tasks • Charismatic and well-presented at all times due to the high level of interaction with external visitors • Individual must be honest and reliable • Background check • Possible drug test
We are a second generation family owned accounting firm that has served the southwest suburbs over 50 years I am willing consider both full time/ part time Reception/ Bookkeeping position for tax season; potentially two people - One for mornings (10AM to 2 or 3PM) and one for afternoons/early evenings 2 or 3 PM to 7 PM. I am flexible with the exact schedule. You will have Saturdays free to spend with your family.
Tax season may involve working Sundays. After tax season, successful candidates will be invited to continue part time over the summer with increased hours in September and October. Pay will be commensurate with experience.
